Role: Commercial Operations & PMO Support

Experience: 5-10 years

CTC: Up to 26 LPA


This role exists to support the operational and commercial administration of the Account ePMO. It is a structured, execution-focused role with a defined and fixed scope. The purpose is to ensure invoicing, commercial tracking, and PMO administration activities are performed accurately, on time, and in accordance with agreed processes. This role does not define strategy, manage client relationships, or make commercial decisions.


1. Invoicing & Commercial Administration

• Prepare monthly invoice data packs including timesheet reconciliation, resource listing, and rate validation for review and approval by the ePMO Lead prior to submission

• Maintain the purchase order (PO) register — tracking PO values, consumption, expiry dates, and flagging renewal requirements to the ePMO Lead no later than 30 days before expiry

• Monitor and report on timesheet submission compliance weekly — chasing non-compliant resources and providing a compliance summary to the ePMO Lead each Monday

• Track invoice status post-submission — monitoring receipt, approval, and payment. Escalate overdue invoices to the ePMO Lead within 2 business days of the payment due date

• Maintain a variation and change order log — recording all approved changes, ensuring billing reflects approved scope, and flagging discrepancies to the ePMO Lead

• Produce a monthly commercial summary report covering invoice status, PO position, and outstanding items for inclusion in the portfolio dashboard


2. PMO Operational Administration


Prepare governance forum agendas, pre-reads, and materials in accordance with the standing template — completed no later than 2 business days before each forum

• Coordinate governance forum logistics — attendee management, calendar invites, meeting room or virtual session setup

• Manage the action and decision log from governance forums — distributing within 24 hours of each meeting and tracking completion status weekly

• Support the preparation of steering committee materials as directed by the ePMO Lead — no independent content creation without instruction

• Maintain operational registers including the resource demand register, licence and subscription tracker, and commercial risk log

• Coordinate working group scheduling, agenda management, and minute distribution as directed


3. Reporting Support

• Compile and consolidate data inputs for the weekly ePMO status report as directed by the Governance Analyst

• Prepare the commercial and invoicing section of the monthly portfolio dashboard using prescribed templates and data sources

• Produce ad hoc reports or data extracts as directed by the ePMO Lead — completed within the agreed turnaround time specified at time of request

Minimum 5 years' experience in a PMO, commercial operations, or project administration role

• Demonstrable experience in invoicing coordination, purchase order management, or commercial administration

• Strong proficiency in Microsoft Excel, including reconciliation and data validation

• Experience working with timesheet or resource management systems

• High attention to detail with a track record of accurate, on-time delivery

• Clear written communication — able to produce concise reports and summaries without ambiguity

• Able to work independently to a prescribed process with minimal supervision
