About The Job:

  • Manage the complete lifecycle of software requests — from intake and validation through evaluation, approval, procurement, and closure
  • Independently handle complex, high-impact requests including AI tools, competitive analysis use cases, emergency procurement, and appeals
  • Identify and eliminate bottlenecks before they become escalations
  • Route requests accurately based on governance criteria and organizational policies
  • Drive the Software Standards Review Committee
  • Schedule, prepare, and facilitate a recurring cross-functional governance committee that reviews and approves software requests at a senior stakeholder level
  • Build decision-ready briefing materials for every request presented at the committee
  • Coordinate attendance across Legal, Security, Procurement, Engineering, and Business stakeholders
  • Send structured meeting notes with decisions, action owners, and next steps within 24 hours of every session
  • Track all post-approval actions — vendor onboarding, sourcing requests, license provisioning — to closure

Essential Job Functions:

  • Research, Evaluate, and Advise
  • Research every software request using internal inventory systems, vendor risk platforms, and prior decision records before taking any action
  • Identify existing standards, approved alternatives, prior decisions, and risk flags proactively
  • Advise requestors on the right path — direct catalog order, category review, committee escalation, or procurement sourcing — and guide them through it
  • Stay current on AI governance frameworks and apply them consistently across all AI-related software requests
  • Coordinate Across Teams and Functions
  • Act as the single point of contact across Business Units, Legal, Procurement, Security, Finance, and Engineering for all software governance matters
  • Manage escalations and exceptions with appropriate urgency and senior stakeholder awareness
  • Facilitate expedited approvals for urgent, business-critical requests where standard timelines would cause unacceptable delays
  • Coach requestors through compliance requirements, policy boundaries, and alternative tool adoption
  • Improve the Process, Track the Numbers
  • Track KPIs including request volume, turnaround time, SLA compliance, and backlog aging — and act on them
  • Maintain standard operating procedures, process documentation, and audit readiness at all times
  • Identify inefficiencies and drive structured improvements — this role has real authority to change how things work
  • Support the scaling of intake and governance operations as the organization grows

Qualifications:
Skills

  • 5–6 years of experience in Program Management, IT Operations, IT Governance, or a closely related discipline
  • Demonstrated ability to manage complex, multi-stakeholder workflows independently — without waiting to be told what to do
  • Experience operating in governance or compliance-driven environments where process discipline matters
  • Outstanding written and verbal communication in English — you will write professional correspondence and briefing documents every day
  • Proven ability to drive cross-functional alignment across Legal, Procurement, Security, Finance, and Engineering
  • Strong analytical instincts — you can spot a pattern, build a case from it, and present it to leadership
  • High ownership mindset — when something falls through the cracks, you feel it personally
  • Proficiency with workflow and ticketing systems (e.g. ServiceNow), Microsoft Office 365, and project management tools
  • Preferred
  • Prior exposure to Software Asset Management (SAM), IT procurement, or vendor governance
  • Familiarity with software licensing models — SaaS, perpetual, freemium, open source — and their enterprise procurement implications
  • Knowledge of vendor onboarding and security review processes
  • Experience facilitating governance or review committee meetings at a senior stakeholder level
  • High visibility across Legal, Procurement, Engineering, and Business leadership from day one
  • Real authority to shape and improve a mature governance program — not just execute

  • A collaborative, high-trust team that values autonomy, ownership, and continuous improvement
  • Education
    • Bachelor’s degree in business, IT, Operations, or related field (or equivalent experience)
