Our work spans multiple legal entities, complex financial structures, and a range of services. The role requires curiosity and an ability to understand how these entities and structures fit together.

THE ROLE

We are hiring an Accounts & Admin Executive to handle financial operations and office administration in-house. You will be the executor who keeps the day-to-day running across all our entities and ensures the workspace operates without friction.


You will work with our Fractional CFO and his CA firm, who own filings, compliance, and financial strategy. The split of responsibilities: they decide and certify; you execute, organize, and keep the data accurate and complete. You ensure documentation is ready when a filing, audit, or query comes up.

Our model involves multiple entities, so you will need time at the start to understand how we operate before you can do the job well.


You report to the founder day-to-day and work with the Fractional CFO. You coordinate between the CFO and CA firm, vendors, banks, and the founders.


WHAT YOU'LL DO


Bookkeeping & Financial Operations

  • Maintain accurate, up-to-date books across multiple entities: daily transaction recording, reconciliations, and ledger management
  • Coordinate with the CFO and CA firm to ensure all data, documentation, and records are ready for filings and audits
  • Manage directors' accounts, expense tracking, and reimbursements
  • Handle invoicing, vendor payments, and receivables follow-up


Portals, Systems & Tools

  • Operate and maintain financial and compliance portals (GST, MCA, banking dashboards, etc.)
  • Manage subscriptions, online accounts, vendor portals, and any SaaS tools the business uses
  • Handle bookings, orders, and procurement coordination as needed


Admin & Coordination

  • Own administrative operations and ensure tasks are not missed
  • Coordinate with external accountants, vendors, and service providers on behalf of the founders
  • Maintain organised filing systems (physical and digital) for all financial and corporate documents
  • Support with data entry, report preparation, and ad hoc tasks as needed


Office Management

  • Manage day-to-day office operations — supplies, upkeep, and ensuring the workspace runs without friction
  • Coordinate with office-related vendors (housekeeping, maintenance, internet and utilities, security, couriers, printing) — sourcing, onboarding, managing relationships, and tracking payments
  • Handle vendor agreements, AMCs, and renewals; flag issues before they escalate
  • Maintain a vendor directory with contact details, contract terms, and renewal timelines
  • Ensure the office environment is consistently functional, well-stocked, and presentable


WHAT WE'RE LOOKING FOR

  • 2 to 3 years in accounts, bookkeeping, or finance admin, ideally in a startup or multi-entity environment
  • Strong working knowledge of Tally, Zoho Books, QuickBooks, or similar accounting software
  • Comfortable with GST portals, MCA filings, and banking platforms
  • Sharp logical thinking and ability to understand complex business models to connect the dots between operations and financials
  • Excellent written and verbal communication skills. This role will require you to interface with our CFO, CA firm, vendors, and occasionally clients
  • High ownership mentality: you don't wait to be told twice and you follow things through to completion
  • Comfortable handling vendor negotiations and day-to-day office coordination alongside financial responsibilities
  • Proficient with MS Office / Google Workspace, especially Excel/Sheets


GOOD TO HAVE

  • Prior exposure to venture studios, holding companies, or businesses with multiple revenue streams
  • Basic understanding of company law, Director's accounts, or secretarial compliance
  • Experience supporting a CFO or senior finance professional
  • Prior experience managing office operations or facilities in a startup or small business environment
