About the Role:
The Director – Administration & Facilities will lead the organization's Administration, Facilities, Workplace Services, Travel Governance, and Corporate Services functions across multiple locations. The role is responsible for driving operational excellence, compliance, cost optimization, workplace experience, vendor governance, and business continuity while ensuring scalable and technology-enabled processes.
The ideal candidate will possess strong leadership capabilities, commercial acumen, stakeholder management skills, and extensive experience in managing large-scale corporate administration and facilities operations within IT Services, GCCs, Technology Organizations, Consulting, or similar corporate environments.

Key Responsibilities:
Strategy, Governance & Compliance:
- Define and implement Administration & Facilities strategy aligned with organizational goals and business growth plans.
- Establish policies, SOPs, governance frameworks, service standards, and SLAs across all locations.
- Ensure compliance with statutory regulations, workplace safety standards, fire safety norms, and audit requirements.
- Develop and implement Business Continuity Plans (BCP), emergency response procedures, and crisis management protocols.
- Drive continuous improvement initiatives to enhance operational effectiveness and employee experience.
Administration & Facilities Management:
- Lead end-to-end office administration including front office operations, housekeeping, cafeteria services, security operations, mailroom, employee services, and helpdesk functions.
- Oversee facilities management activities including space planning, seating strategy, asset management, inventory control, maintenance contracts, utilities management, and workplace infrastructure.
- Ensure high standards of workplace services and employee experience across all office locations.
- Manage visitor management systems, meeting facilities, employee transportation, and corporate events.
- Lead office expansion, relocation, consolidation, and workplace transformation initiatives.
- Optimize workplace utilization and occupancy planning to support business growth.
Travel Governance & Corporate Services:
- Define and implement corporate travel policies, approval workflows, and governance frameworks.
- Manage Travel Management Companies (TMCs), airline partnerships, hotel vendors, transport providers, and travel-related suppliers.
- Drive travel cost optimization through negotiated contracts, preferred supplier programs, and policy compliance.
- Monitor travel spend, traveler safety, duty-of-care requirements, and employee travel experience.
- Ensure compliance with travel policies and corporate expense management guidelines.
Vendor & Contract Management:
- Identify, onboard, negotiate, and manage strategic vendors across facilities, travel, transportation, workplace services, security, housekeeping, and administrative categories.
- Lead RFP/RFQ processes, commercial negotiations, contract finalization, and vendor governance.
- Establish SLAs, performance scorecards, penalty mechanisms, and service review frameworks.
- Conduct Quarterly Business Reviews (QBRs) and Monthly Business Reviews (MBRs) with key suppliers.
- Develop preferred supplier programs and category management strategies to maximize value and service quality.
Budgeting, Cost Control & Reporting:
- Own annual operating budgets for Administration, Facilities, Travel, and Workplace Services.
- Identify cost optimization opportunities and deliver measurable year-over-year savings.
- Monitor spend, utilization, productivity metrics, and financial controls.
- Present MIS reports, dashboards, cost-saving initiatives, and operational metrics to senior leadership.
- Ensure audit readiness, policy compliance, and financial governance across all locations.
Technology & Process Excellence:
- Drive digital transformation initiatives across Administration, Facilities, Workplace Services, and Travel functions.
- Implement, optimize, and govern Online Booking Tools (OBT), Travel & Expense Management platforms (e.g., Concur, SAP Travel, Navan, Neo), Facility Management Systems (CAFM), Helpdesk Solutions, Visitor Management Systems, and Workplace Analytics tools.
- Lead automation initiatives, self-service capabilities, and workflow digitization to improve operational efficiency and employee experience.
- Drive data-driven decision-making through KPI dashboards, SLA reporting, operational analytics, and management information systems (MIS).
- Establish and monitor service performance metrics, operational controls, and governance frameworks across all locations.
- Standardize SOPs, policies, workflows, and control mechanisms to ensure consistency, compliance, and scalability across multi-location operations.
- Partner with IT, Procurement, Finance, and HR teams to integrate workplace and travel technologies into enterprise systems.
- Continuously evaluate emerging technologies and best practices to enhance service delivery, operational effectiveness, and cost optimization.
Risk Management, Security & Sustainability:
- Oversee workplace security governance, incident management, and risk mitigation programs.
- Ensure adherence to environmental, health, safety, and regulatory requirements.
- Lead emergency preparedness, disaster recovery, and crisis management initiatives.
- Drive workplace sustainability initiatives including energy efficiency, waste reduction, and responsible resource utilization.
- Support organizational ESG and sustainability objectives through workplace programs.
Leadership & People Management:
- Lead and mentor Administration & Facilities teams across multiple locations.
- Build a high-performance culture focused on service excellence, accountability, and continuous improvement.
- Develop succession plans, capability-building initiatives, and leadership pipelines within the function.
- Partner closely with Business Leaders, HR, Procurement, Finance, Security, and other stakeholders to deliver operational excellence.

Qualifications & Experience:
- Bachelor's Degree in Business Administration, Engineering, Facilities Management, Operations, or a related discipline.
- MBA or equivalent management qualification preferred.
- 15 to 20 years of overall experience in Administration, Facilities Management, Workplace Services, Corporate Services, or related functions.
- Mandatory: Minimum 5 years of Administration & Facilities Management experience within Corporate IT Services, Technology Organizations, GCCs, Consulting, Engineering Services, BPOs, or similar corporate environments.
- Proven experience managing multi-location operations and large vendor ecosystems.
- Strong experience in budgeting, contract negotiations, facilities operations, compliance, and workplace transformation.
- Exposure to CAFM platforms, ERP systems, Travel Management Systems, Procurement tools, and Service Management platforms is highly desirable.
