Job Summary:

The Sales Coordinator will collaborate with Account Executives, Sales Engineers, and Estimations Managers/Directors during the pre-sales process for opportunity types such as Request for Proposal (RFP), Design-Build, Box Sales, and Change Orders. The Sales Support Specialist will be part of the enterprise network of administrative support within the Sales Support Group. The Sales Support Specialist will be responsible for completing assigned tasks to assist the AE and/or SSG team with bid responses, proposal formatting, qualification documentation, D365 administration, conversion through contract administration, etc.

Primary Duties & Responsibilities:

  • Support for Account Executives, Sales Engineers, and Estimations Managers/Directors
  • Assist with bid sheet pricing for opportunity, project, and box sale quotes
  • Setup and/or reformat standard proposal template
  • Reformat and upload BOM into Experlogix (pricing tool/database)
  • Export BOM from Experlogix, complete and verify bid sheet totals
  • Identify errors in bid sheet including consultant calculations and/or BOM discrepancies
  • Verify and update part numbers to match Experlogix database
  • Assist with equipment quote requests and deal registrations when needed
  • Participate and provide feedback regarding processes and efficiencies initiatives being administered by Sales Operations
  • Follow-up and coordination with vendors regarding pricing and lead times
  • Assist Sales Operations in capturing and documenting the breadth of data required to complete qualification/onboarding efforts
  • Provide qualification documentation support
  • Provide project/client reference
  • Develop project team bios and certifications for Business
  • Assist with certificate of insurance requests
  • Review and entry of quotes submitted by Sales
  • Miscellaneous reporting & coordination as needed
  • Attended bid launches as needed with estimating team and partner departments using Microsoft Teams and Smartsheet
  • Provide Go-To-Market models to the business when requested
  • Validate “conditions of sale” prior to conversion processes and Continuous Improvements Feedback/Features Suggestions.

Complexity:

The Sales Support Specialist will receive new Administrative Support assignments which will consist of stewarding teams of non-technical and technical personnel through processes involved in supporting. These engagements can vary from pricing exercises to non-complex proposal management, to client onboarding and validating Diversified as a business, to managing qualification inquiries and to filling out simple forms for clients.

Education/Certifications:

  • Bachelor’s degree or equivalent with 5+ years in AV/IT industry sales administrative support role
  • PowerBi and PowerApp Development (Intermediate / Basic User) – Good to have
  • SharePoint Pages Development Experience – Good to have
  • Experience in sales operations and customer order tracking with vendors
  • Ability to multi-task in an energetic environment
  • Extraordinarily detailed and committed to quality
  • Exceptionally organized and able to prioritize
  • Strong oral and written communicator
  • Proficient in Microsoft Office suite (PPT, Excel, Word, OneNote, Teams, D365)

Work Type Classification: Hybrid

Shift: APAC - 6:30 AM to 3:30 AM
EMEA - 2:00 PM to 11:00 PM

(However, the shift during training and other selected periods may change based on the region. Required to be flexible as per business needs)
