Role Overview\n\nThe Associate – Learning Procurement supports timely procurement of SaaS learning tools, educator services, content vendors, and other learning-related requirements. This role is execution-focused: converting approved requirements into purchase orders, coordinating vendor documentation, tracking budgets and spends, following up on invoices, and ensuring procurement requests are closed within agreed timelines. The ideal candidate is organised, detail-oriented, comfortable with finance workflows, and able to keep stakeholders updated on procurement status, blockers, and next steps.\n\nKey Responsibilities\n\nProcurement Execution & Vendor Coordination\nSupport procurement of learning tools, platforms, educator services, and vendor-led services from approved requirement intake through PO creation and closure\nCoordinate with vendors to collect quotations, proposals, registration documents, tax details, SOW inputs, and other information required to process purchases\nMaintain accurate procurement trackers, vendor records, PO details, contract dates, renewal timelines, and request status updates\n\nTimeline Management & Request Fulfilment\nTrack procurement requests against defined TATs and follow up with vendors, internal teams, Finance, and Legal to ensure timely closure\nFlag delays, missing information, approval gaps, or process blockers early and escalate them to the manager with clear context\nPrepare regular status updates on open requests, pending POs, invoice ageing, renewals, and expected closure dates\n\nBudget Tracking, POs & Invoice Processing\nTrack approved budgets, committed spends, open POs, invoice status, accruals, and actuals against procurement plans\nRaise purchase requisitions and purchase orders, validate invoice details, coordinate approvals, and follow through on payment processing with Finance\nMaintain clean documentation for audit readiness, including approvals, quotes, vendor communication, PO copies, invoices, payment confirmations, and closure notes\n\nStakeholder Coordination & Internal Servicing\nServe as the day-to-day procurement coordinator for academic operations, program, learning, technology, and finance stakeholders\nCapture procurement requirements clearly, confirm approvals and budget availability, and route requests to the right workflow\nShare timely updates with stakeholders on PO status, invoice status, vendor follow-ups, expected timelines, and dependencies\n\nRequired Skills & Experience\n\n2–5 years of experience in procurement, finance operations, vendor coordination, operations, or business support roles\nWorking knowledge of procurement workflows, PO creation, invoice processing, vendor onboarding, and approval tracking\nExperience working on SAP Ariba, Coupa is preferred\nAbility to track budgets, committed spends, invoices, accruals, and payment status with strong attention to detail\nStrong follow-up discipline and ability to manage multiple requests, timelines, and stakeholder expectations simultaneously\nBasic understanding of SaaS tools, learning platforms, content vendors, or service procurement is preferred\nClear written and verbal communication skills; able to draft vendor emails, status updates, tracker notes, and basic documentation\nStrong command of Excel/Google Sheets; experience with Coupa, ERP, ticketing, or procurement tools is an advantage\n\nWhat Sets a Strong Candidate Apart\n\nExperience working with cross-functional teams and following up across Finance, Legal, Operations, and vendor teams\nComfort reading basic SOWs, contracts, invoices, and commercial documents to identify missing information or mismatches\nComfort maintaining trackers and dashboards for budgets, POs, invoices, renewals, and procurement ageing\nPrior exposure to EdTech, learning content vendors, academic services, SaaS tools, or vendor support environments
