Manager Stores / Supply Chain

Job Purpose

  • Coordinate and monitor respective category of materials with respect to receipt, storage, issue and rejection to ensure zero stock outs and shortages;
  • Organize warehousing of materials to ensure availability & traceability of the same
  • Monitoring preservation of materials to avoid deterioration while in storage
  • Judicious utilization of resources towards effective and efficient warehouse.

2. Accountabilities


Key Responsibilities: Service

  • Manage day to day store operations of stores
  • Provide inputs to Head Stores in formulation of Store Policies / Norms /Safety Standards
  • Manage Store Operations to ensure availability of right material as per user requirements -receipt, inspection and usage decision
  • Manage Store Operations to ensure availability of right material at right place - Warehousing, Binning & Preservation
  • Manage Store Operations to ensure availability of right material and arrange issue as per requirements
  • Review transaction entries and document preparation for incoming materials
  • Track Repair & Refurbishment items
  • Arrange internal logistics for material handling and delivery
  • Scrutinize issue, return, stock transfer of materials
  • Maintain safety standards & good housekeeping environment in stores
  • Facilitate on the job training, tool box stock for the people deployed in the stores operations towards procedural compliance
  • Plan and optimize space utilization and ensure adherence to the stacking plans
  • Monitor timely collection and disposal of scrap and other materials as per the SOPs
  • Drive adherence to all departmental, HSEF and safety and legal compliances
  • Any other responsibility as assigned by the HOD from time to time

  • Interface with end-users on an ongoing basis for meeting timely requirement
  • Ensure timely delivery to ensure seamless functioning of the departments and to achieve highest internal customer satisfaction

Key Responsibilities: Quality

  • Actively participate and be accountable for implementation of all quality programs to ensure continuous quality improvement in the department
  • Conduct periodic QA/QC audits to check and ensure adherence to policies and protocols
  • Ensure adherence to all norms and standards of National and International accreditation organization opted by the hospital for accreditation.
  • Constantly monitor Quality Reports and take immediate necessary action with vendors in case of quality issues and rejection of items.
  • Actively participate in infection control and prevention activities, campaigns, awareness sessions etc.

  • Plan and implement cost reduction & introduce more of substitute products without compromising quality
  • Ensure compliance to statutory / regulatory requirements and internal / external audits

  • Set performance goals of the team members and drive performance of the highest delivery and excellence
  • Ensure training of all team members as per training schedule
  • Ensure continuous upgradation of the functional and soft skills of the team members
  • Be available to provide coverage in case of absence of the colleague within the constraints

  • Keep abreast about the latest and upcoming innovative technologies, developments in the medical field for providing better services to the clinical department
  • Identify areas of process improvement & automation and recommend the same for implementation to HOD

Experience & Educational Requirements

EDUCATIONAL QUALIFICATIONS:

Necessary:

Graduate and Diploma / PG in Materials management

Desirable:

Knowledge about handling of hazardous materials

RELEVANT EXPERIENCE:

Necessary:

7+ years experience, with min 5 years in hospital / healthcare sector

Desirable:

Handling stores in a Tertiary care super-specialty hospital
