Role Description :


This is a full-time role for an Executive Assistant to the Chief Executive Officer. The Executive Assistant will manage the CEO’s calendar, schedule meetings across time zones, coordinate travel, and prepare detailed itineraries. The role includes organizing and prioritizing emails and messages, drafting correspondence, managing follow-ups, and maintaining confidential records and documents. The Executive Assistant will prepare expense reports, track budgets related to executive activities, and ensure timely approvals and reconciliations. The position also involves coordinating virtual and in-person meetings, preparing meeting materials, capturing action items, and ensuring the CEO is briefed and equipped for key discussions. The ideal candidate will act as a strategic partner to the CEO, anticipating needs, streamlining workflows, and enabling focus on high-impact work in a fast-paced, information-intensive environment. This position requires traveling and the candidate must have an active and valid passport.


Qualifications


  • Demonstrated experience in Executive Administrative Assistance and Executive Support, preferably supporting C-level leaders in a fast-paced or media/tech environment.
  • Strong Administrative Assistance capabilities, including document preparation, information management, and coordination of internal and external stakeholders.
  • Proficiency in Diary Management, including complex calendar coordination, meeting prioritization, and scheduling across multiple time zones.
  • Hands-on experience with Expense Reports, including tracking, reconciliation, and adherence to company policies and timelines.
  • Excellent written and verbal communication skills, with the ability to draft clear, concise, and professional correspondence.
  • High level of discretion and judgment when handling confidential or sensitive information.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines independently in a remote setting.
  • Advanced proficiency with productivity and collaboration tools (e.g., Google Workspace or Microsoft 365, Slack, Zoom, project management platforms).
  • Proactive, detail-oriented mindset with the ability to anticipate needs and solve problems with minimal supervision.
  • Bachelor’s degree or equivalent professional experience; prior experience in investigative, media, consulting, or high-growth environments is a plus.
