About the Role
We are seeking a highly organized and proactive Real Estate & Project Operations Manager to support the establishment and development of multiple university campuses across India. This role will be instrumental in coordinating real estate operations, project execution, regulatory approvals, lease administration, and stakeholder management. The ideal candidate will work closely with landlords, architects, project management consultants (PMCs), university partners, government authorities, and internal teams to ensure timely and seamless execution of campus infrastructure projects.
Responsibilities
Regulatory & Statutory Compliance
- Coordinate and support applications, approvals, renewals, and inspections with municipal and local authorities.
- Liaise with architects, consultants, and PMCs for statutory submissions and compliance documentation.
- Track approval timelines and proactively follow up with relevant authorities to ensure timely clearances.
- Maintain comprehensive records of approvals, licenses, permits, NOCs, and regulatory documentation.
Lease Administration & Landlord Management
- Serve as the primary point of coordination with landlords and property management teams.
- Support the execution, amendment, renewal, and administration of Leave & License Agreements (LLAs) and related documentation.
- Manage rent schedules, invoice processing, escalation tracking, reconciliations, and payment coordination with finance teams.
- Maintain lease databases, compliance trackers, critical date calendars, and document repositories.
Project Coordination & Execution
- Coordinate effectively between architects, PMCs, contractors, university representatives, landlords, and internal stakeholders.
- Support project planning, documentation, approvals, and communication across multiple campus development projects.
- Monitor project milestones, dependencies, risks, and action items to facilitate smooth execution and timely delivery.
- Ensure structured reporting and regular updates on project progress.
University & Partner Engagement
- Collaborate with university partners on infrastructure readiness, space planning, compliance requirements, and operational preparedness.
- Coordinate site visits, inspections, walkthroughs, and stakeholder meetings.
- Support documentation requests and information sharing between university partners and project teams.
Operations & Administrative Support
- Coordinate with vendors, service providers, and facility partners to support operational requirements across sites.
- Assist with audits, reporting, project trackers, and governance documentation.
- Ensure accurate record-keeping, documentation control, and effective communication across all project stakeholders.
Good to Have
- 6–8 years of experience in real estate operations, project coordination, facilities management, infrastructure development, or related functions.
- Experience managing commercial, institutional, educational, or large-scale office environments is preferred.
- Demonstrated experience working with landlords, architects, consultants, PMCs, contractors, and government authorities.
- Exposure to campus development, educational infrastructure, or large multi-stakeholder projects will be an advantage.
Required Skills
- Strong understanding of real estate administration, lease management, project coordination, and documentation processes.
- Working knowledge of municipal approvals, statutory compliance, and regulatory coordination.
- Strong project management and stakeholder management capabilities.
- Excellent organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and parallel workstreams in a fast-paced environment.
- Proficiency in Microsoft Office Suite, project tracking tools, documentation systems, and reporting frameworks.
