Job Description:

We are seeking a highly organized, proactive, and ambitious Executive Assistant to join the Director's office and provide comprehensive support to the Director of our company. This is a high-trust, high-growth role at the heart of a fast-moving, multi-business group. You will keep the Director's time, communication, and priorities running smoothly, help drive initiatives to closure across the group, and — with active mentoring — grow over time into a senior Executive Assistant and trusted right-hand. Responsibilities:

  • Calendar Management: Maintain the Director's schedule by scheduling and prioritizing appointments, meetings, and events. Coordinate with internal and external stakeholders to align with the Director's availability and business priorities.
  • Travel Arrangements: Book flights, accommodation, ground transport, and logistics; prepare detailed itineraries and travel packs for seamless trips.
  • Meeting Coordination: Organize and schedule meetings and events; prepare agendas, materials, and presentations; attend meetings where required, take minutes, and follow up on action items.
  • Email & Communication Management: Monitor, prioritize, and respond to email on behalf of the Director; handle incoming/outgoing correspondence with prompt, appropriate responses.
  • Correspondence & Documentation: Draft, edit, and proofread letters, memos, reports, and other documents to the company's professional standards.
  • Cross-Business Coordination & Follow-Through: Act as a coordination point between the Director and teams, vendors, and partners across the group's businesses; track action items and drive them to closure in a fast-paced environment.
  • Special Projects & Research: Support special projects and initiatives; conduct research, prepare reports, and provide basic analytical support as directed.
  • Data & Information Management: Maintain and update confidential files, records, and databases related to the Director's office; keep information organized and accessible.
  • Office & Administrative Support: Provide general administrative support, including office supplies, expense reports, and invoices.
  • Personal & Family Coordination: Assist with the Director's personal appointments, reservations, and family/household logistics as needed, with complete discretion.
  • Confidentiality & Discretion: Handle sensitive business and personal information with the utmost discretion and maintain a high level of confidentiality at all times.


Requirements:

  • 1–3 years of experience as an Executive Assistant or in an administrative, coordination, or front-office role; exceptional fresh graduates with the right aptitude will be considered.
  • Excellent written and spoken English, plus fluent Hindi.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in MS Office / Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams), and the ability to pick up new tools quickly.
  • Proactive and resourceful, able to anticipate needs and think critically to solve problems independently.
  • Discretion, tact, and a high level of professionalism when handling sensitive information.
  • Flexibility and adaptability to handle changing priorities and last-minute requests in a growth-stage business.
  • Exceptional interpersonal skills, with the ability to interact professionally with individuals at all levels.
  • Willingness to travel occasionally with the Director.
  • Bachelor's degree preferred (Business Administration, Commerce, Communications, or a related field).
  • Above all: a positive attitude, an ownership mindset, and a genuine eagerness to learn and grow.

Experience:
