Position Summary
The Admin Lead will be responsible for overseeing all administrative operations across the organization, ensuring seamless office management, vendor coordination, facilities management, travel logistics and employee experience initiatives. This role requires someone who is highly organized, proactive, solution-oriented, and capable of managing multiple stakeholders in a fast-paced environment.
Roles & Responsibilities
Office & Facilities Management
- Oversee day-to-day office operations and ensure a well-maintained, productive workplace environment.
- Manage office infrastructure, seating arrangements, maintenance requirements, and facility upgrades.
- Ensure timely resolution of office-related issues and employee requests.
- Maintain office supplies and inventory while optimizing operational costs.
Vendor & Procurement Management
- Identify, negotiate, and manage relationships with vendors, service providers, and contractors.
- Ensure timely procurement of office supplies, equipment, and services.
- Monitor vendor performance and ensure service quality and cost efficiency.
- Manage contracts, renewals, and documentation for all administrative vendors.
Travel & Logistics
- Oversee employee travel arrangements including flights, accommodation, local transport, and event logistics.
- Coordinate large-scale travel requirements for company offsites, client meetings, and events.
- Ensure adherence to travel policies and budget controls.
Employee Experience & Workplace Culture
- Support employee engagement initiatives, celebrations, events, and office activities.
- Ensure a positive workplace experience by proactively addressing employee needs.
- Partner with HR and leadership teams on workplace improvement initiatives.
Experience & Skills
- 4-7 years of experience in Administration, Facilities Management, Workplace Operations, or Corporate Services.
- Prior experience leading administration functions in a fast-paced organization (agency experience preferred)
- Strong vendor management and negotiation skills.
- Experience managing travel, procurement, facilities, and office operations.
- Excellent organizational and stakeholder management skills.
- Strong problem-solving ability with a hands-on approach to execution.
- Proficiency in Microsoft Office and administrative management systems.
