Job Description
Facilities & Infrastructure Management\nLead day-to-day operations of office facilities including workstations, meeting rooms, utilities, power backup systems, lighting, and common areas.\nManage preventive and breakdown maintenance through coordination with landlords, building management, and service vendors.\nPlan and optimize office layout, space utilization, and infrastructure readiness aligned with business needs.\nConduct regular facility inspections and audits to ensure service quality and timely issue resolution.\n\n2. Housekeeping & Office Services\nOversee housekeeping operations to ensure high standards of cleanliness, hygiene, and sanitation across the premises.\nManage cleaning schedules, deep cleaning, pest control, and waste management programs.\nEnsure uninterrupted availability of office supplies, pantry items, and consumables.\nAddress employee feedback and service issues proactively to maintain a positive workplace experience.\n\n3. Parking & Transport Management\nManage employee and visitor parking allocation, discipline, and records.\nCoordinate with building management and security teams for parking access, passes, and compliance.\nResolve parking-related escalations and improve utilization efficiency.\n\n4.
Procurement & Vendor Governance\nLead procurement of administrative services, supplies, and minor assets within approved budgets.\nFloat RFQs, evaluate quotations, negotiate commercials, and finalize vendors.\nManage vendor contracts, SLAs, renewals, and performance reviews.\nEnsure accurate documentation of purchases, invoices, vendor compliance, and payment coordination.\n\n5. Safety, Health & Workplace Compliance\nAct as the designated Safety Officer / Safety SPOC for the office.\nEnsure compliance with workplace safety, fire safety, and occupational health standards.\nPlan and execute fire drills, emergency preparedness programs, and safety audits.\nCoordinate with building management, auditors, and authorities to close safety gaps.\nMaintain safety records, incident reports, and statutory compliance documentation.\n\n6. Administrative Compliance & MIS\nEnsure adherence to applicable labor laws, administrative regulations, and statutory requirements impacting office operations.\nMaintain statutory registers, licenses, and records relevant to admin and facilities.\nSupport internal and external audits related to administration, safety, and facilities.\nPrepare and present MIS reports on admin costs, vendor performance, compliance status, and improvement initiatives.\n\n7.
Stakeholder & Employee Support\nServe as the primary escalation point for administration and facilities-related concerns.\nCollaborate closely with HR, IT, Security, Finance, and Operations teams to ensure seamless office functioning.\nSupport employee onboarding and offboarding activities related to access cards, seating, lockers, and assets.\nDrive service excellence and high employee satisfaction through responsive support.\nQualifications & Experience\nBachelor’s degree in Business Administration, Facilities Management, or a related discipline.\nSafety certification such as Fire & Safety / NEBOSH / IOSH preferred.\n\n8 – 12 years of experience in administration and facilities management, preferably in BPO, IT, or corporate environments.\nProven experience in vendor management, procurement, housekeeping, and compliance management.\nStrong understanding of workplace safety standards and facility operations.\n\nSkills & Competencies:\nStrong leadership, planning, and multitasking abilities\nVendor negotiation and contract management expertise\nSound knowledge of safety, health, and administrative compliance\nExcellent communication and stakeholder management skills\nCost optimization and budget control\nProficiency in MS Office and MIS reporting\n\nBehavioral Expectations:\nHands-on, proactive, and solution-driven approach\nHigh ownership, accountability, and decision-making capability\nStrong attention to detail and process discipline\nService-oriented mindset with people-first thinking\nAbility to work independently in a fast-paced environment
