About the Role

We are seeking an experienced Event & Operations Lead to lead the planning, execution, and operational management of events across multiple formats and locations. The ideal candidate will have strong expertise in event logistics, vendor management, travel coordination, and on-ground execution, ensuring seamless delivery of high-quality experiences.


Key Responsibilities

Event Planning & Execution

  • Lead end-to-end planning and execution of corporate, experiential, marketing, and large-scale events
  • Develop event timelines, operational plans, budgets, and contingency strategies.
  • Coordinate with internal stakeholders to understand event objectives and ensure flawless delivery.
  • Oversee venue selection, setup, production, registrations, guest management, and event closeout activities.



Vendor Management

  • Identify, onboard, negotiate, and manage relationships with event agencies, production vendors, travel partners, hospitality providers, and other service vendors.
  • Ensure timely delivery of services while maintaining quality and cost efficiency.
  • Monitor vendor performance and compliance with contractual obligations.



Event & Travel Logistics

  • Manage all event-related logistics including transportation, accommodation, venue operations, inventory, equipment movement, and attendee experience.
  • Coordinate domestic and international travel arrangements for speakers, guests, leadership teams, and event participants.
  • Ensure smooth travel planning, visa coordination (where applicable), and itinerary management.



On-Ground Operations

  • Lead on-site event operations and act as the primary point of contact during event execution.
  • Manage event staff, volunteers, vendors, and operational teams.
  • Handle real-time issue resolution and ensure adherence to safety, quality, and service standards.
  • Conduct post-event reviews and implement process improvements.



Budget & Process Management

  • Track event budgets, approvals, vendor payments, and expense reconciliations.
  • Drive operational excellence through standardized processes, checklists, and reporting mechanisms.
  • Analyze event outcomes and provide actionable insights for future improvements.



Required Qualifications

  • Bachelor's degree in Event Management, Hospitality, Business Administration, Marketing, or a related field.
  • 8+ years of experience in event management, operations, logistics, or a similar role.
  • Proven experience managing large-scale events and complex operational re
  • quirements.Strong vendor management and negotiation skills.
  • Hands-on experience in travel logistics, accommodation planning, transportation management, and attendee coordination.
  • Demonstrated ability to lead on-ground event operations under tight timelines.
  • Excellent stakeholder management, communication, and problem-solving skills.
  • Proficiency in budgeting, planning tools, and operational reporting.



Preferred Qualifications

  • Experience managing international events, conferences, roadshows, or global stakeholder engagements.
  • Exposure to international travel coordination and cross-border event logistics.
  • Experience working with multinational teams, global vendors, or international audiences.
