ADMINISTRATIVE.LOGISTICS COORDINATOR
Key Responsibilities
1) Logistics Documentation & Data Management
Handle daily data entry related to logistics activities, material movement, and inventory transactions.
Maintain accurate records of cargo movements, drilling inventory, and material movement activity.
Ensure inventory data is controlled, updated, and accurate in the system.
Support reporting and tracking related to logistics and material movement for drilling operations.
2) Import / Export Documentation
Acquire and maintain all required import and export documentation.
Handle documentation related to customs clearance, freight movement, and shipment records.
Ensure proper maintenance and filing of all import/export and cargo-related documents.
Coordinate logistics paperwork to support smooth movement of drilling-related materials and equipment.
3) Freight, Customs & Transport Coordination
Be involved in customs and freight-related matters, including:
Freight bill negotiation
Freight bill verification
Shipment coordination
Liaise with transport agencies, freight partners, and logistics vendors for movement of cargo/materials.
Coordinate with internal and external stakeholders to ensure timely order management and order fulfillment.
4) Inventory & Material Control
Support inventory management and control activities related to drilling materials and logistics movement.
Ensure drilling inventory is properly tracked and maintained with high accuracy.
Provide support for material supply and warehouse coverage, as required for drilling operations.
Assist in logistics planning to optimize time management and material availability.
5) Operational Support
Provide logistics and material supply support for drilling operations on location, as needed.
Coordinate with internal teams to ensure materials are available and documented correctly.
Perform other duties assigned by the Manager / Supervisor in relation to logistics, materials, and documentation.

Candidate Profile / Required Experience
Education
Bachelor's Degree
Experience
4-5 years of experience in the Oil & Gas sector, specifically in logistics-related documentation.
Strong exposure to:
Import / Export documentation
Customs and freight coordination
Cargo movement records
Inventory / logistics data entry
Transport coordination
Material movement support for operations
Required Skills & Competencies
Functional / Technical Skills
Good knowledge of Import & Export documentation is mandatory.
Experience in logistics documentation, freight handling, customs coordination, and cargo tracking.
Strong data entry skills with attention to detail.
Familiarity with logistics software / inventory systems.
Proficiency in MS Outlook, MS Word, and MS Excel.
Ability to manage documentation accurately in a fast-paced operational environment.
Soft Skills
Good verbal and written communication skills.
Strong coordination and follow-up skills with transporters, vendors, and internal stakeholders.
Effective problem-solving and decision-making ability.
Ability to work in a team-oriented environment while handling operational priorities.
Flexible to work extended hours / weekends, if required.
