Role Description This is a full-time, on-site Executive Assistant to Chief Executive Officer role based in Mumbai. The Executive Assistant will provide high-level administrative and organizational support to the Chairman, acting as a key point of contact for internal and external stakeholders. Day-to-day responsibilities include managing the Chairman’s calendar and appointments, coordinating meetings, preparing agendas, taking minutes, and following up on action items. The role involves preparing and reviewing documents, presentations, and reports; handling travel arrangements and detailed expense reports; and maintaining organized digital and physical filing systems. The Executive Assistant will also help manage confidential information, prioritize communications, streamline workflows, and support special projects and initiatives as assigned by the Chairman.

Qualifications

  • Strong experience in Executive Administrative Assistance and Executive Support, preferably supporting C-level leadership.
  • Proven capabilities in Administrative Assistance, including office coordination, document management, and stakeholder communication.
  • Proven capabilities in understanding and preparing Business Plans, DPRs and financial models for existing and new businesses.
  • Strong ability to collect and evaluate corporate and market info wrt to existing and new businesses.
  • Demonstrated capability of tracking & ensuring timely MIS flow to the Chairman, along with evaulating performance against budget/target.
  • Hands-on experience with Diary Management, including complex calendars, meeting scheduling, and time prioritization.
  • Ability to prepare, track, and reconcile Expense Reports with accuracy and adherence to company policies.
  • Excellent written and verbal communication skills, with attention to detail and professional correspondence etiquette.
  • High level of discretion, integrity, and ability to handle sensitive and confidential information.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
  • Proficiency with productivity tools (e.g., MS Office or Google Workspace, calendar and video conferencing tools).
  • Ability to work independently and collaboratively in a fast-paced, on-site in Mumbai and virtula across the Group's businesses environment.
  • Relevant diploma or bachelor’s degree in Business Administration, Management, or a related field is preferred; prior experience in a similar role will be highly valued.
