Job Purpose: This role is responsible for the comprehensive management and maintenance of all documentation related to station operations, ensuring the accuracy, security, and accessibility of operational manuals, schematics, and log sheets. This role involves coordinating with various departments to update and communicate changes in documentation, managing MIS, and conducting regular audits to uphold quality standards and project specifications.

Educational Qualification:

Bachelors in Library Science and Document Control or Technical Documentation is preferred.

Work Experience (Range of years):

5+ years of experience in document control or information management, preferably within the engineering, manufacturing, or energy sectors.

Preferred Industry:

Experience in the power generation, manufacturing, or construction industry with a focus on documentation management and control systems.

Lead DCC (Document Collection Centre)

Documentation Management:

Manage the documentation of station operations, maintenance activities, and overhauling processes to ensure accuracy, meets quality standards, completeness and inline with project specifications.

Develop and maintain a MIS (Management Information System) for tracking and reporting document status.

Manage the printing requirements of the plant, including operational manuals, schematics, and other critical documents.

Regularly update, print and archive log sheets and historical documents for the laboratories, ensuring current data is accurately recorded, easily retrievable, and compliant with retention policies.

Evaluate new drawing proposals for maintenance and ensure modifications are accurately represented and facilitate sharing of documents and drawings with the maintenance department.

Communication and Coordination:

Coordinate with different departments to update documents following Management of Change (MoC) procedures and communicate these changes effectively.

Act as the primary point of contact for all document-related communications, discrepancies and issue resolution between project teams, contractors, and external stakeholders.

Coordinate the submission and receipt of documents to and from various stakeholders and provide regular updates to management on the documentation status.

Business Sustainability:

Implement and follow to IMS, AWMS, DISHA and CHETNA guidelines within the department, promoting a culture of compliance.

Ensure all collected documents meet regulatory and industry standards, including safety and environmental regulations.

Keep abreast of legal, regulatory, and compliance requirements related to documentation.

Digitization and Automation:

Execute digitization strategies to streamline documentation workflows and increase accessibility.

Identify opportunities for automation within the documentation process to reduce manual effort and improve accuracy.

Manage the implementation of new software and technology solutions that enhance operational efficiency.
