Senior Officer - Administration

  • Graduate in any discipline; MBA/PGDM (HR/Admin) preferred.
  • 5-8 years of experience in Plant Administration, Facility Management, or Industrial Administration.
  • Experience in manufacturing, renewable energy, power, or heavy engineering industry preferred.

1. Facility & Infrastructure Management

  • Ensure upkeep and maintenance of plant buildings, offices, utilities, roads, gardens, and common areas.
  • Coordinate preventive and breakdown maintenance activities through vendors.
  • Monitor plant infrastructure and ensure uninterrupted administrative support services.
  • Manage office space allocation, asset tracking, and workplace readiness.

2. Housekeeping, Canteen & Welfare

  • Supervise housekeeping agencies and maintain cleanliness standards across the plant.
  • Monitor canteen operations, food quality, hygiene, and employee satisfaction.
  • Ensure availability of drinking water, sanitation facilities, and employee welfare amenities.
  • Conduct periodic audits and implement corrective actions.

3. Security & Visitor Management

  • Manage security agencies, access control systems, CCTV monitoring, and gate operations.
  • Ensure compliance with security protocols and visitor management procedures.
  • Coordinate VIP visits and customer visits.

4. Transport & Travel Management

  • Manage employee transportation, hired vehicles, and route optimization.
  • Monitor vehicle utilization, GPS tracking, fuel consumption, and vendor performance.
  • Llogistics arrangements for official visits.

5. Vendor & Contract Management

  • Identify, onboard, and manage service providers for housekeeping, security, transport, and facility services.
  • Monitor contractor performance against SLAs and ensure timely bill certification.
  • Support procurement activities and cost optimization initiatives.

6. Compliance & Liaison

  • Ensure compliance with Factory Act provisions related to welfare and administrative services.
  • Coordinate inspections by statutory authorities and maintain records.
  • Support labour law compliance related to contract manpower and service providers.
  • Liaise with local government bodies and external agencies as required.

7. Budget & Cost Control

  • Prepare and monitor administration budgets (OPEX/CAPEX).
  • Process purchase orders, invoices, and vendor payments through SAP.
  • Drive cost-saving and efficiency improvement initiatives.

8. Township & Employee Engagement Support

  • Coordinate township accommodation allotment and maintenance support.
  • Support employee welfare programs, festivals, sports events, and engagement initiatives.
  • Address employee grievances related to administration services.
