Job Description:

Their primary duties and responsibilities include:

  • Acting as a point of contact for customers, clients or suppliers via email, over the phone or in person
  • Welcoming visitors to the building, organizing security clearance and showing them to meetings
  • Booking meeting rooms for colleagues and arranging meeting schedules
  • Processing invoices, tracking receipts, inputting expenses and other basic bookkeeping tasks
  • Assist the HR and IT teams with the onboarding of new employees (e.g., preparing desk spaces, coordinating IT asset allocation).
  • Maintain digital and physical filing systems, ensuring sensitive company and client data is secure.
  • Assist in drafting reports, preparing presentations, and taking minutes during team meetings.
  • Manage travel arrangements and process expense reports for leadership and technical staff
  • Manage the inventory of office supplies and IT pantry needs, sourcing the best deals from vendors.
  • Ensure office facilities, hardware (printers, conference room AV setups), and workstations are fully functional
  • Scheduling office meetings between teams, managers and departments
  • Responding to questions and requests for information- Admin Ticketing.


Required Experience and Skills:

  • Proven experience as an Administrative Assistant or Office Admin Assistant
  • Bachelor's degree in relevant field.
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Experience in vendor management and overall office administration
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task.
