Job Description:
Their primary duties and responsibilities include:
- Acting as a point of contact for customers, clients or suppliers via email, over the phone or in person
- Welcoming visitors to the building, organizing security clearance and showing them to meetings
- Booking meeting rooms for colleagues and arranging meeting schedules
- Processing invoices, tracking receipts, inputting expenses and other basic bookkeeping tasks
- Assist the HR and IT teams with the onboarding of new employees (e.g., preparing desk spaces, coordinating IT asset allocation).
- Maintain digital and physical filing systems, ensuring sensitive company and client data is secure.
- Assist in drafting reports, preparing presentations, and taking minutes during team meetings.
- Manage travel arrangements and process expense reports for leadership and technical staff
- Manage the inventory of office supplies and IT pantry needs, sourcing the best deals from vendors.
- Ensure office facilities, hardware (printers, conference room AV setups), and workstations are fully functional
- Scheduling office meetings between teams, managers and departments
- Responding to questions and requests for information- Admin Ticketing.
Required Experience and Skills:
- Proven experience as an Administrative Assistant or Office Admin Assistant
- Bachelor's degree in relevant field.
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Experience in vendor management and overall office administration
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task.
