Job Description Project Coordinator – Industrial EPC Projects (Civil | PEB | MEP | Design & Build) Company: Ellora EPC Pvt. Ltd. We provide end-to-end Design & Build solutions covering: * Civil Construction * Pre-Engineered Buildings (PEB) * Structural Steel * Mechanical, Electrical & Plumbing (MEP) * Infrastructure & External Development Position Summary The Project Coordinator is responsible for coordinating all project activities between the site team, design consultants, procurement, planning, QA/QC, safety, accounts, contracts, and the client. The role ensures timely information flow, documentation, progress monitoring, issue escalation, and reporting so that projects are delivered safely, on time, within budget, and to the required quality standards. Key Responsibilities 1. Project Coordination * Coordinate daily activities among Civil, PEB, MEP, Planning, QA/QC, Safety, Procurement, Billing, and Design teams. * Track project milestones and deliverables. * Ensure inter-departmental coordination for smooth execution. * Follow up on pending actions until closure. 2. Planning & Progress Monitoring * Prepare Daily Progress Reports (DPR), Weekly Reports, and Monthly Progress Reports. * Monitor project schedules using MS Project or Primavera. * Track manpower, machinery, and material availability. * Highlight delays and recommend corrective actions. 3. Documentation & MIS * Maintain project documentation, including drawings, RFIs, submittals, inspection requests, material approvals, and meeting minutes. * Ensure all records are updated in the ERP/document management system. * Prepare project dashboards for management review. 4. Design Coordination * Coordinate with architects, structural consultants, PEB designers, and MEP consultants. * Track drawing submissions, approvals, and revisions. * Ensure only approved drawings are used at site. 5. Procurement Coordination * Coordinate with procurement for timely material requisitions and deliveries. * Track long-lead items and vendor commitments. * Monitor inventory status and shortages. 6. Billing & Commercial Support * Support preparation of client RA bills. * Track subcontractor bills and certifications. * Maintain records of variation orders, claims, and extra items. * Assist in cost tracking and budget monitoring. 7. Client & Consultant Coordination * Schedule and coordinate progress review meetings. * Prepare agendas and minutes of meetings (MOM). * Follow up on client comments and consultant approvals. * Ensure timely closure of action items. 8. Safety & Quality Coordination * Coordinate with QA/QC and Safety teams for inspections and audits. * Track NCRs, punch points, and corrective actions. * Ensure statutory and client compliance documentation is maintained. 9. Risk & Escalation Management * Identify project risks, bottlenecks, and pending decisions. * Escalate critical issues to the Project Manager within defined timelines. * Maintain a project risk and action tracker. 10. Project Close-Ou * Coordinate punch list closure. * Compile as-built drawings and O&M manuals. * Ensure all project documentation is complete before handover. Qualifications Essential * B.E./B.Tech in Civil Engineering (NICMAR Preferred) Preferred * Diploma in Civil Engineering (with strong industrial project experience) * Certification in Project Management, Primavera P6, or MS Project * Knowledge of ISO Quality Systems Experience * 5–10 years of experience in Industrial EPC, Civil, PEB, or MEP projects. * Experience in warehouses, factories, manufacturing plants, logistics parks, commercial, or infrastructure projects is preferred. * Experience supporting Design & Build projects is an advantage.
