Title: Executive Assistant (Remote – India, UK Hours) Location: India (Remote, with option to work from Mohali office) Schedule: Full time, Monday–Friday, aligned to UK business hours (9:00–18:00 UK time) About the role We are a young, fast growing business operating at the intersection of financial services and prop tech, delivering title search software and services across multiple U.S. states. Our clients rely on us for strong execution, disciplined delivery, and clear communication. We're looking for an organized, motivated Executive Assistant to support our leadership team. This is a hands-on role that combines classic EA responsibilities (calendar, meetings, travel) with operational support in a small, fast moving software company. This is a mid level role (2–4 years of experience). Please apply only if you are aligned with the stated compensation below. This position is remote from within India, with the option to work from our Mohali office if preferred. What you'll do Manage the executive's calendar: schedule and prioritize meetings, calls, and travel across UK, India and US time zones. Act as a primary point of contact between the executive and internal/external stakeholders, ensuring timely and professional communication. Prepare and organize documents, reports, presentations, and correspondence using Microsoft Office and online tools (e.g. Google Workspace, LLM models ). Draft, proofread and format emails, proposals, contracts and briefing notes. Prepare agendas, coordinate meetings, take minutes and follow up on actions. Maintain organized digital filing systems and ensure information is easy to find. Perform accurate data entry and basic reporting (trackers, spreadsheets, simple dashboards). Support project coordination by monitoring deadlines, chasing updates and flagging risks. Arrange travel and itineraries for the executive and, occasionally, other team members. Monitor the executive's inbox, flag priorities, draft responses and ensure follow through on key items. Use tools such as QuickBooks (or equivalent) for light finance/admin tasks like invoices and expenses (training can be provided). Work with internal systems (e.g. Jira, ClickUp, internal software) to keep tasks and information up to date. Handle sensitive and confidential information with absolute discretion. What we're looking for Must have Resident of India with a valid right to work in India. Able to work full time on UK hours (9:00–18:00 UK time, Monday–Friday). Bachelor's degree or equivalent experience. 2–4 years of experience as an Executive Assistant / Personal Assistant / administrative coordinator, ideally supporting senior leadership. Excellent English communication skills – both written and spoken. Strong diary management and organizational skills; comfortable managing competing priorities. Experience coordinating travel and scheduling across multiple time zones (or willingness to learn quickly). High level of discretion and professionalism. Strong IT skills, especially: Microsoft Outlook, Word, Excel, PowerPoint Online collaboration tools (Teams/Zoom, SharePoint/OneDrive, Google Docs/Sheets/Slides) Basic use of tools like Canva or similar. Highly organized, detail oriented, and able to structure your own workload independently. Proactive, solution oriented mindset – you anticipate needs and act without constant direction. Comfortable working in a small, entrepreneurial team and wearing multiple hats. Nice to have Experience in software / SaaS / technology or professional services. Familiarity with tools like Jira, ClickUp or other project/task management platforms. Exposure to finance, legal, or property related sectors (e.g. title, conveyancing, financial services). Willingness to occasionally work from our Mohali office if in-person sessions are needed. Compensation Around ₹4.8 LPA equivalent for the first 6 months. Why join us?
