About the Role
As an IT Finance and Software Cost Recharging Expert, you will be responsible for preparing, operating, and continuously improving the monthly recharging framework for software costs across the organization. You will gather and validate usage data, translate consumption into transparent cost allocations by user, business unit, and software product, and communicate monthly charges in a clear and reliable way. This role requires a strong background in IT Controlling, IT Finance, or Technology Business Management, combined with a solid understanding of general IT, software products, data flows, and service consumption. You will work closely with IT, Finance, Procurement, Software Asset Management, and business stakeholders to increase cost transparency, strengthen accountability, and support data-driven decisions on software spend.
What You Will Do
As an IT Finance and Software Cost Recharging Expert, you will be responsible for preparing, operating, and continuously improving the monthly recharging framework for software costs across the organization. You will gather and validate usage data, translate consumption into transparent cost allocations by user, business unit, and software product, and communicate monthly charges in a clear and reliable way. This role requires a strong background in IT Controlling, IT Finance, or Technology Business Management, combined with a solid understanding of general IT, software products, data flows, and service consumption. You will work closely with IT, Finance, Procurement, Software Asset Management, and business stakeholders to increase cost transparency, strengthen accountability, and support data-driven decisions on software spend.
What You Will Do
- Gather, review, and validate monthly software usage and cost data from internal and external source systems.
- Prepare recurring usage-based cost allocation and recharging templates per user, business unit, cost center, and software product.
- Ensure allocation logic is accurate, transparent, defendable, and aligned with Finance and Controlling principles.
- Communicate monthly software costs and charging results to business stakeholders in a friendly, precise, and service-oriented manner.
- Analyze monthly cost developments, usage changes, allocation drivers, variances, and trends over time.
- Identify data quality issues, cost anomalies, allocation gaps, and opportunities to improve cost transparency or reduce unnecessary spend.
- Extend and adapt the recharging framework in line with business needs, new software products, changing licensing models, and evolving organizational structures.
- Define requirements for automated technical integration of source data and work with IT or data teams to reduce manual effort in the monthly process.
- Create, maintain, and improve operative and strategic dashboards for software cost, usage, allocation, and trend reporting.
- Document processes, calculation rules, controls, and stakeholder responsibilities to ensure a stable and auditable monthly recharging cycle.
- Gather, review and identify savings analyzing unused license seats
- At least 5 years of professional experience in IT Controlling, IT Finance, Technology Business Management, IT cost management, or a closely related role.
- Strong understanding of cost allocation, chargeback or showback models, cost center accounting, budgeting, forecasting, accruals, and variance analysis.
- Practical experience with usage-based cost allocation for IT services, software, SaaS, cloud, infrastructure, or comparable technology cost areas.
- Good general understanding of IT, including software products, licensing principles, user and consumption data, master data, interfaces, and reporting processes.
- Excellent analytical skills and the ability to translate complex usage and financial data into clear business messages.
- Strong communication skills on senior-management level, with the ability to explain cost drivers, allocation logic, and monthly changes to Finance, IT, and business stakeholders.
- High attention to detail, strong process discipline, and a structured approach to recurring monthly deadlines.
- Ability to work independently, challenge data quality constructively, and collaborate effectively across global or cross-functional teams.
- Experience with Technology Business Management frameworks, IT Financial Management, FinOps, or enterprise chargeback/showback models.
- Experience with Software Asset Management, software licensing, SaaS management, or vendor cost transparency.
- Knowledge of tools such as Power BI, Tableau, SAP, ServiceNow, Apptio, SAC, SQL, Power Query, Power Automate, or comparable reporting and automation solutions.
- Experience defining data integration requirements, validating automated interfaces, or working with data engineering teams.
- Familiarity with IT service management, ITIL, procurement processes, contract data, or software lifecycle management.
- Experience in a global, matrixed, or multi-national organization with multiple business units and cost allocation stakeholders.
- Professional certification in Controlling, Finance, TBM, FinOps, ITIL, Software Asset Management, or project management.
- A bachelor's or master's degree in Finance, Controlling, Business Administration, Business Informatics, Information Technology, Computer Science, Economics, or a related field.
- A minimum of 5 years of relevant experience in IT Finance, IT Controlling, Technology Business Management, or IT cost allocation.
- Proven ability to manage recurring financial processes with high data quality, clear controls, and reliable monthly delivery.
- Demonstrated experience building or improving cost allocation, recharging, showback, or chargeback models for technology costs.
- Proven capability to analyze cost movements, explain business impacts, and recommend practical improvements.
- Strong stakeholder management skills and the ability to build trust with Finance, IT, and business representatives.
- Fluent written and spoken English; additional languages are an advantage in a global working environment.
